Tasks are living documents β€” each one is both a piece of work to complete and a place to record your findings. Assign, track, write, and publish results.

πŸ’‘ What Are Tasks?

A Task is how work gets done inside a Study Room. But unlike a simple to-do list item, each task is a living document β€” it has:

A document body

Write your findings, notes, evidence, and conclusions directly inside the task using the rich text editor. Think of it as a mini-report that grows as you work.

An assignee

Each task is assigned to a specific room member. They own the work and the document.

Status tracking

Tasks move through stages: Pending β†’ In Progress β†’ Completed. Everyone can see where things stand.

Priority levels

Low, Medium, High, or Urgent. Sort and filter by what matters most.

Due dates

Set deadlines with date and time. Overdue tasks are highlighted.

Private (only assignee + moderators), Shared (all room members), or Published (permanent knowledge base record).

πŸ“‹ The Tasks Page

Every Study Room has a Tasks tab. This is your command center:

  • List View β€” See all tasks with filters for status, assignee, and project. Click any task to open its detail page.
  • Board View β€” Kanban-style columns (Pending, In Progress, Blocked, Completed). Drag tasks between columns to update their status.
  • Create Task β€” Click the button to create a new task. Set title, description, priority, due date, assignee, and project. Load from a saved template to save time.
  • Select All β€” Owners and moderators can multi-select tasks for bulk operations: reassign, change status, set due dates, or delete.

βž• Creating a Task

Only room owners and moderators can create tasks by default. If the room has membersCanCreateTasks enabled, any member can create tasks.

  1. Click + New Task on the Tasks page.
  2. Enter a title (required).
  3. Optionally add a description, set priority, and pick a due date.
  4. Choose a project to group the task.
  5. Assign to yourself, specific members, or everyone in the room.
  6. Optionally load from a template to pre-fill the form.
  7. Set the task to repeat(daily, weekly, bi-weekly, monthly) if it's a recurring assignment.

πŸ’‘ Tip: Save commonly used tasks as templates using the πŸ“‹ Save as Template button on any task detail page. Next time you create a task, select it from the template dropdown.

Click any task to open its detail page. This is where the task comes alive as a living document:

Edit mode

Click ✏️ Edit to modify the title, description, status, priority, due date, assignee, project, and visibility. Save your changes when done.

Task Body

The rich text editor lets you write structured findings β€” use headings, lists, bold, italic, and more. This is your working document. It can be private while you work, shared for feedback, or published as a permanent record.

Checklist

Add inline checklist items β€” check them off as you go. Great for breaking down a task into smaller steps.

Labels

Add freeform tags like "bug", "design", or "urgent". Filter tasks by label on the list page.

Comments

Discuss the task with other room members. Post comments, read the thread, and keep the conversation attached to the work.

Tasks don't exist in isolation. Connect them to other tasks and to the room's world entities.

Task Relationships

Link tasks together with typed relationships: Blocks (this must finish first), Supports (findings help another task), Contradicts (findings conflict), or Spawned By(created from another task's completion). Click + Link Task in the sidebar.

Entity Links

Connect a task to the room's world entities β€” characters, places, objects, timeline events. For example, link a task to "Alice" (character) and "The Knife" (object). Click + Add Entity and search by name.

The task workflow is simple and collaborative:

Claim a task

If a task is unassigned or you want to take ownership, click πŸ™‹ Claim. You become the assignee.

Start working

Click β–Ά Start to move the task from Pending to In Progress. This signals to the room that work has begun.

Complete a task

Click βœ… Completeand optionally add a completion note. The task moves to Completed. If the body is ready, you can publish it to the room's permanent knowledge base.

Decline a task

If you're assigned a task you can't take on, decline it with a reason. The room owner is notified and can reassign.

Release a task

If you claimed a task but can't continue, release it so someone else can pick it up.

πŸ“ Organizing with Projects

Projects group related tasks together. A project has a name, target date, description, and progress bar showing completion percentage.

  • Browse projects at πŸ“ Projects in the room navigation.
  • Click a project card to see only its tasks.
  • Assign a task to a project when creating it or from the detail page.
  • Tasks without a project live in the General bucket.

πŸ“° Tasks in Your Feed

When a task is assigned to you, it appears in your Home Room Feed at /homeroom/feed. The TaskCard shows:

  • The task title and the room it belongs to
  • Current status (⏳ Pending, πŸ”„ In Progress, βœ… Completed)
  • Priority level as a colored dot
  • Due date with urgency highlighting (red for overdue)
  • A direct link to the task detail page

You can also see all your tasks across every room at /homeroom/studyrooms/tasks β€” grouped by due date (overdue, today, this week, later).

πŸ“‹ Task Templates

If your room uses the same tasks repeatedly, save them as templates:

  1. Open any task and click πŸ“‹ Save as Template.
  2. The template saves the title, description, and priority β€” ready to reuse.
  3. When creating a new task, select the template from the dropdown to pre-fill the form.
  4. Templates can also be set to repeat on a schedule β€” daily, weekly, bi-weekly, or monthly β€” for recurring assignments.
